Library and IT Assistant

General Description:

Luther College is seeking a Library and IT Assistant for full-time work (35 hours/week) during the period of September 2024 to June 30, 2025 with the possibility of extension. Reporting to the Library Coordinator, the Library and IT Assistant’s responsibilities will be to assist with the operation of the Luther College Library including the Circulation and Reserves functions, reference assistance, serials, cataloguing, archives, and intermediate IT support. The position provides staff relief during absences of the Library Coordinator, so schedule flexibility is required.

A detailed description of the duties follows:

Library Assistant

  1. Circulation
  • Charge, discharge, renew and recall library materials
  • Register patrons (including students,  faculty, staff, special borrowers, alumni, and public users)
  • Search for misplaced materials (items claimed returned require searching in Luther and other campus libraries)
  • Inform Luther Student Services of invoices, receipts for fines paid, and holds that need to be placed on delinquent accounts
  • Monitor maintenance of collection, i.e. perform needed repairs on library materials, relabel as required, process replacement orders as required
  1. Reserve
  • Gather and process all requested reserve materials (from Luther and other libraries)
  • Manage circulation of Reserve collection
  1. Reference
  • Assist/instruct patrons in the use of the online catalogue and the university’s electronic databases and keep informed and educated of new databases and search strategies
  • Conduct reference searches for users
  • Assist users in methods of locating physical materials in the library
  • Provide citation and bibliographic assistance for students’ written assignments (keep up-to-date on MLA, APA and Chicago citation styles)
  1. Serials
  • Check in new issues of journals, magazines, newspapers on a daily basis
  • Ensure serials collection is properly shelved
  • Maintain subscriptions, report missing issues, undelivered issues, etc.
  1. Cataloguing
  • Assist in processing all new items received from cataloguing 
  • Prepare donations for cataloguing, including duplicate searching and processing cataloguing requests
  1. Archives
  • Assist users in finding, retrieving, and reshelving of Luther College Archival documents, photographs, and memorabilia
  • Index, house, and add to Archive collection any items received for that purpose
  • Assist in scanning and data entry of archival material for digitization projects
  1. Other
  • Prepare displays and signage for library promotion
  • At the discretion of the Library Coordinator, assist the Academic Office with administrative support for Academic Misconduct

IT Support

  1. Provide information technology support within the Luther College Library
  • Troubleshoot and assist library users with various software applications and hardware systems
  • Assist with the installation, configuration and maintenance of library’s computers, workstations, loanable tablets and laptops, AV equipment, media equipment and/or other related equipment and devices
  • Accept general responsibility for the library’s IT and AV equipment and ensure they are ready for use (stock paper and toner, create labels, bundle cords, etc.)
  1. Provide information technology support within Luther College
  • Troubleshoot and assist students, staff and faculty with various software applications and hardware systems in offices, classrooms and residence
  • Respond to questions and offer assistance in-person and remotely (via phone or email)
  • Assist the University of Regina Information Services department with the installation, configuration and maintenance of Luther College’s computers, AV equipment, media equipment and/or other related equipment and devices
  1. Provide classroom computer and A/V support
  • Troubleshoot and assist instructors and staff with technology in classrooms, including hybrid teaching systems, projectors, AV and media equipment
  1. Create information technology user manuals and documentation
  • Learn fundamental operations of Luther College’s commonly used software, hardware and other equipment
  • Create easy-to-use, visual guides for the use of certain applications or equipment
  • Store, share and periodically update manuals and documentation
  • Assist the University of Regina Information Services department with instruction and/or training of students, staff and faculty on new or updated technologies
  1. Liaise with UR Information Services
  • Become familiar with current campus help resources, UR information technology policies, services and staff
  • Stay updated on campus technology changes or problems
  • Direct calls to Information Services Helpdesk as necessary
  1. Assist with review, evaluation and recommendation of solutions
  • Track common problems/challenges with systems and equipment
  • Assist UR Information Services in research and development of solutions and initiatives
  1. Assist with inventory management and maintenance of Luther College’s IT and A/V equipment
  • Track and log inventory levels of equipment and materials
  • Perform routine support and testing for proper upkeep of systems (software updates, etc.)
  1. Maintain current knowledge of technology, equipment, regulations, licenses, standards and systems
  2. Other
  • Assist with IT projects, tasks, and other duties as assigned

Term

This position is a term position until June 30, 2025 with the possibility of extension. 

Schedule:

The successful applicant will be expected to work 8:30 a.m.to 4:30 p.m. Monday-Friday.

Qualifications and experience:

The ideal candidate will have the following:

  • A minimum of four years of university-level education;
  • Preferably at least two years of previous library experience, ideally in a university setting;
  • Knowledge of and experience in IT, particularly in a post-secondary or school environment;
  • Strong interpersonal and communication skills;
  • A keen interest in working with students;
  • Strong attention to detail; and
  • An affinity with the goals of Luther College.

Salary:

The salary range for this position is $19.52 to $23.44 per hour.
